Article 3
Section 1: Membership
Membership is open to all members of the University community without regards to race, color, sex, national origin or disadvantage. In order to become a member of SEASA, one must sign up the officers with the required contact information.
Section 2: SEASA Members
Voting privilege is open to all active SEASA members who have attended several club meetings and are currently enrolled in Concordia University.
Section 3: Making Motion
Only members will have the right to make motions and vote on matters before the group.
Section 4: Participation
All members of the club will have the privilege to participate in the deliberation and function of the group.
Section 5: SEASA Activities
In order to receive a discount, or free participation of any SEASA activities, one must be a full member and be active as well. Active being defined as full participation in the majority, if not all the events that SEASA will host.
Section 6: Fundraising
Fundraising will occur throughout the year with various events.
Article 4
Section 1: Structure
The association will consist of the following components:
A. An Executive Committee
B. A General Assembly
Section 2: The Executive Committee
The Executive Committee will consist of the following officers and their responsibilities:
A. President
a. Be the official representative of all members in the association
b. Solve problems within the association dealing with University
c. Attend all SEASA meetings and activities
d. Appoints the Event Committee, Treasurer, Public Relations, and Spiritual Advisor
e. Responsible for SEASA Annual Report/any upcoming events
f. Substitute for any committee when needed
B. Vice-President /Co-President
a. Assist/substitute for the president when necessary in her/his responsibilities
b. Attend All SEASA meetings and activities
c. Attend all board meetings with advisors
d. Attend Training session first week of school
e. Record the movement of the membership and Asian student enrollment
f. Responsible for Vice-President section of SEASA Annual Report
g. Be responsible for calling meetings and informing all the members of it
C. Secretary
a. Record all the information that was discussed during the meeting and e-mail members to inform them after each of them.
b. Keep all records pertaining to the association
c. Attend all SEASA meetings and activities
d. Attend all board meetings with advisors
e. Attend training session first week of school
f. Responsible for Secretary’s report section of SEASA Annual report
D. Treasurer
a. Be in charge of money (fundraising and activities)
b. Be in charge of requisitions
c. Be in charge or recording/reporting expenses
d. Attend all SEASA meetings and activities
e. Attend all board meetings with advisors
f. Attend training session first week of school
g. Responsible for treasure’s report section of SEASA Annual report
h. Responsible for SEASA’s cash box
i. Responsible for receipts/reimbursements
E. Public Relations
a. Be in charge of reporting issues and concerns from members to officers
b. Be in charge of publicizing SEASA and activities
c. Be in charge of reporting back to the club about events happening at other colleges
d. Attend all SEASA meetings and activities
e. Attend all board meetings with advisors
f. Attend training session first week of school
g. Responsible for public relation’s report of SEASA Annual Report
F. Spiritual Advisor
a. Relate to SEASA members to create a cohesive family of friends that is necessary for the maximum function of the club
b. Encourage students to participate on and off campus activities.
c. Be aware of any cultural events that will integrate the knowledge of SEASA
d. Be aware of chapel services and upcoming updates
e. Be willing to work with all officers to promote cultural diversity and understanding
G. Events Committee
a. Work with Executive Committee to ensure all functions and events are fully satisfied
b. Be in charge of making posters and fliers for SEASA events as well as advertising within the school
c. Get other members involve in the process of making posters, posting, fliers, and etc.
d. Be in charge of decorations
Section 3: General Assembly
A. The General Assembly will consist of all members of the association
B. The ultimate power of decision will rest with the Executive Committee acting on behalf of the club
Article 5
Section 1: Running for office
A. A candidate for any official position of the association, except Public Relations and Secretary must have completed at least on academic year at Concordia University and be an active member of the group for a year.
Section 2: The Election
A. Open nominations: each member nominates herself/himself or any other qualified member as a candidate.
B. The candidate for each position receiving the most votes will hold those positions.
Section 3: Election Day & the Concluding the Year
A. The election of the SEASA Executive Committee should take place during the third to the last meeting of the spring semester. The second meeting will be reserved to discuss the result of the year and the last meeting will be used to inform the members of the new Executive Committee and conclude the school year.
